This Privacy Policy applies to UNCC Rooms, a student housing program operated and managed by Queen City Management Services (QCMS), located at 13534 Plaza Rd Extension, Suite 108, Charlotte, NC 28215. References to “we,” “us,” or “our” refer to UNCC Rooms by Queen City Management Services (QCMS).

This Policy describes how we collect, use, and protect information submitted through our website and communications channels.

4. SMS / Text Message Communications

A2P Compliance Notice: UNCC Rooms by Queen City Management Services (QCMS) participates in A2P (Application-to-Person) SMS messaging programs. The following section describes both programs we operate and how we handle SMS consent data. We do not share, sell, or transfer your phone number or SMS opt-in status to any third party for their marketing purposes.

4.1 Transactional SMS Program

Program Name: UNCC Rooms by Queen City Management Services (QCMS) Transactional Communications

Use Case Description: Non-marketing text messages sent to residents and applicants regarding their housing account. Messages include: room application status and booking confirmations; room allocation and assignment notifications; lease signing reminders and coordination; maintenance request acknowledgment and status updates; move-in scheduling and coordination; and one-time post-move-in resident satisfaction surveys.

Opt-In: You must affirmatively check the transactional SMS consent checkbox on our web forms. Pre-checked boxes are not used. Consent is logged with a timestamp.

Message Frequency: Varies based on your account activity. Most residents receive 1–5 messages per month during active lease periods.

Opt-Out: Reply STOP to any message at any time. You will receive one confirmation message and will receive no further transactional texts.

Cost: UNCC Rooms by Queen City Management Services (QCMS) does not charge for messages. Standard message and data rates from your carrier may apply.

4.2 Promotional SMS Program

Program Name: UNCC Rooms by Queen City Management Services (QCMS) Promotional Offers

Use Case Description: Marketing text messages sent only to individuals who have separately and explicitly opted in to receive promotional content. Messages may include: semester move-in specials and limited-time pricing promotions; early-bird reservation offers for upcoming academic terms; and referral program offers.

Opt-In: You must affirmatively check the promotional SMS consent checkbox on our web forms. This checkbox is separate from the transactional checkbox and is never pre-checked. Opting in to transactional SMS does not enroll you in promotional SMS, and vice versa.

Message Frequency: Typically 2–4 messages per month. Frequency may increase temporarily during move-in seasons.

Opt-Out: Reply STOP to any promotional message at any time. You will receive one confirmation message and will be removed from all promotional SMS lists immediately.

4.3 SMS Data Handling

We handle your SMS opt-in data as follows:

  • No sale or transfer: We do not sell, rent, lease, or transfer your mobile phone number or SMS opt-in consent to any third party for their own marketing or messaging purposes.
  • Service providers: We may share your information with trusted service providers who help us operate our SMS programs (such as messaging platforms) under strict data processing agreements. These providers are prohibited from using your data for their own purposes.
  • Consent records: We retain records of your SMS consent (opt-in and opt-out history) for compliance purposes.
  • Security: We use reasonable administrative, technical, and physical measures to protect your contact information from unauthorized access.

5. Sharing of Your Information

We do not sell your personal information. We may share your information only in the following circumstances:

  • Service providers: Companies that assist us in operating our website, processing applications, managing tenancy, or delivering SMS communications, subject to confidentiality obligations

  • Property management operations: Information may be shared between UNCC Rooms by Queen City Management Services (QCMS) & Queen City Management Services (QCMS) for the purpose of managing your housing application and tenancy
